Executive Asistant

We seek a highly organized, proactive, professional Personal Assistant to support our Team. The ideal candidate will provide comprehensive administrative support, manage schedules, and facilitate effective communication to ensure smooth operations and maximize productivity.

Key Responsibilities:

  • Calendar Management: Coordinate and maintain the calendar, including scheduling meetings, appointments, and travel arrangements. Ensure timely reminders and manage conflicts efficiently.
  • Communication: Act as the first point of contact for internal and external communications. Screen calls, emails, and correspondence; prioritize and redirect as necessary. Draft and proofread documents, reports, and presentations.
  • Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, and transportation. Prepare detailed travel agendas and ensure all logistical aspects are handled.
  • Meeting Coordination: Organize meetings and events, including preparation of agendas, materials, and minutes. Ensure meeting rooms are set up and technology is functioning.
  • Administrative Support: Perform general administrative tasks such as filing, data entry, and handling confidential information with discretion. Manage office supplies and equipment.
  • Project Assistance: Assist with various projects and tasks. Conduct research, prepare reports, and track project milestones.
  • Relationship Management: Build and maintain relationships with key stakeholders, clients, and partners.
  • Problem-Solving: Proactively identify and address issues that may impact efficiency and effectiveness. Provide solutions and alternatives as needed.

Qualifications:

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably supporting senior executives.
  • Excellent organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
  • Strong communication skills, both written and verbal. Professional phone and email etiquette.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Experience with project management tools is a plus.
  • High level of discretion and confidentiality. Ability to handle sensitive information responsibly.
  • Strong problem-solving skills and a proactive, can-do attitude.
  • Bachelor’s degree or equivalent experience preferred.
